Overview

Strengthening Internal Connections

Grays Harbor Public Utility District (GHPUD) serves the communities of Grays Harbor County with a dedicated team of more than 160 staff—spanning customer service professionals, crews who maintain critical infrastructure, and employees who keep daily operations running smoothly. As an organization that’s deeply involved in the community—whether staffing booths at local events or inspiring the next generation of utility workers—their internal communication is just as vital as their external outreach.

After partnering with Powerful to redesign their public-facing website, GHPUD turned to the team again to modernize their intranet. Their goals were to make online tools easier to access, create a design that’s intuitive to navigate, and ensure internal content stays fresh and relevant. This project was about building a platform that works as hard as their team does. By reimagining the intranet, GHPUD aimed to give staff a resource they can rely on daily– one that simplifies workflows, strengthens communication, and makes staying informed effortless.

Function Meets Familiarity

With more than 160 staff spread across departments and responsibilities, GHPUD needed their intranet to serve as a central point of connection. The challenge wasn’t just making resources available– it was making them easy to find. Their goal was to create a design that staff could navigate instinctively, whether they were looking for HR forms, safety policies, or the employee directory.

To achieve this, GHPUD selected Powerful’s premium design, which gave them the flexibility to truly customize their intranet to fit them best. Working closely with Powerful’s trusted web experts, both teams collaborated to craft a layout that reflects how GHPUD staff actually use the intranet day to day. The homepage was reimagined as a clean, dashboard-style layout that places the most essential tools front and center.

The dashboard highlights key areas like the Employee Directory, Policies & Procedures, Forms & Documents Library, and Cloud Portal, arranged in a way that mirrors how staff approach their work. Instead of scrolling through menus, employees can immediately spot what they need, with department updates and announcements displayed in a simple, organized format that supports both office and field staff alike.

The result is a homepage that functions like a personalized control center, rather than a static website. Employees start their day on the intranet knowing exactly where to go, reducing time spent searching for links or digging through email chains. The intuitive structure supports their daily workflow, allowing the intranet to become a natural part of how they communicate, access resources, and stay organized. For a utility with a large and diverse staff, this level of clarity and customization has a direct impact.

Timely Updates for a Unified Team

Staying connected goes beyond navigation– it’s also about making sure the information staff rely on is current. For GHPUD, keeping internal content up to date was a top priority. With a workforce spread across departments and schedules, they needed an intranet that could communicate the latest news, updates, and events without relying on constant manual upkeep behind the scenes. Whether it’s celebrating a team milestone or preparing for an upcoming safety meeting, timely communication plays a key role in keeping their organization aligned.

To support this, GHPUD uses two key features on their homepage: In the Spotlight and Upcoming Safety Meetings. The In the Spotlight section pulls content directly from Powerful’s News Releases web app, making it easy for staff to post internal stories like new hire welcomes, event recaps, retirement celebrations, and employee achievements. Meanwhile, the Upcoming Safety Meetings section integrates with Powerful’s Calendar & Events web app to automatically feature the next scheduled meetings front and center. Staff can also view the full calendar or browse past minutes with a single click, ensuring important information is always accessible.

These tools turn the homepage into a dynamic communication hub. Instead of searching for information, employees see the latest updates the moment they log in. This consistent flow of current content strengthens internal communication, builds a sense of community, and ensures every staff member—whether in the office or the field—stays connected to what’s happening across the utility.

Challenges

GHPUD set out to make their intranet a central hub for online tools, with a particular focus on how staff access internal documents. Their team depends on a wide range of resources—forms, contracts, policies, records, and more—that support daily operations across departments.

As the volume of documents grew, locating the right file quickly became an important consideration. Traditional layouts can force staff to scroll through long lists or search multiple pages to find what they need, which can slow down routine tasks. For a team that values efficiency, this presented a clear opportunity: create a document hub that’s structured, intuitive, and able to handle a large library without becoming overwhelming.

GHPUD's goal was to increase the active use of online tools by making them genuinely useful. Their intranet needed to function as a reliable filing cabinet and an intuitive search interface all at once, giving staff confidence that the information they needed would be easy to find and up to date every time they logged in.

Solutions

To meet this goal, Powerful implemented the Resource Directory app as the backbone for GHPUD’s document management. This tool allows organizations to house internal files in a structured and searchable format, ensuring that critical information is centralized and easy to maintain. For GHPUD, however, simply turning the feature on wasn’t enough-- they needed a solution tailored to the way their team works.

Working closely with GHPUD, Powerful developed a custom enhancement for the Resource Directory that reimagined how documents are displayed. Rather than a standard card layout, the directory was transformed into a list-style, table-like format, aligning with how staff naturally scan for information. This approach is especially effective given the large number of documents GHPUD manages, allowing employees to visually scan the list without excessive scrolling.

In addition to the layout, Powerful introduced a custom field to display form numbers, a small but meaningful change that mirrors how GHPUD’s internal filing system operates. This detail gives staff immediate reference points, making it easier to locate the exact form or policy they need. The result is a structure that feels built for them

Results

The customized Resource Directory has transformed GHPUD’s intranet into a trusted destination for internal information. The list-style layout makes it easy to scan a large volume of documents quickly, while the added form number field provides instant clarity for identifying the right file.

This structure has quietly but effectively reshaped how teams interact with the intranet. Employees can move through their tasks with fewer interruptions—whether that’s pulling up a policy in the office, locating a contract during a meeting, or accessing a form in the field. The directory fits naturally into their daily routines, so using it feels less like learning a new system and more like extending the way they already work.

Thanks to the team who helped make this transition to our new intranet possible. Getting it done right was the goal, and you all made that happen.
